Terms of Services

The following are general terms and conditions for all services provided to you and your clients by india explore. Any terms and conditions specific to individual programs will be attached to each quoted tour cost.

1. Rates & Payments
All rates for our tours are quoted either in US Dollars or Indian Rupees unless otherwise requested or stated. We may require payment in advance for certain properties and destinations where confirmations are given subject to payment of full non-refundable deposit. The same shall be conveyed during the time of making the booking.

Full payment should be remitted in Foreign Exchange towards the cost of tour arrangements by either of the following methods:

(a)
Bank Draft (Banker's Check) favoring india explore, payable in New Delhi. Draft should reach prior to commencement of tour. Kindly send the Bank Draft either by Registered Mail or Federal Express/ Courier only as ordinary mail can get lost in transit.
(b)
Credit Cards - we accept VISA, Master and American Express Credit Cards and these are subject to receipt of authority from local credit card company. We do not levy any bank charges.
 

In case of American Express Credit Card you will be required to send us the authorisation by Fax in a specified format, which may be obtained from our office. Kindly fax the authorisation along with a covering letter and the copy of both sides of your credit card.


2. Transfers, Sightseeing Tours & Excursions
All airport and train station transfers include transportation and the assistance of india explore representative who will assist the clients in check-in/check-out process. All sightseeing tours and excursions include transportation, services of local English speaking guide and other taxes as applicable at the time of quotation. Guides speaking other languages are available upon request and are subject to additional charges. Since the services of other language guides may not be available in some cities, sufficient notice is advisable to allow us to reserve the services of the desired language guide. Sightseeing tours or excursion rates do not include any lunch or soft drinks, etc. Unless mentioned otherwise the capacity of an ordinary car is maximum three persons plus the driver. Buses have maximum capacity of 30 passengers including the guide and driver.There are volvo coaches also available at few places which are super luxury buses and their capacity ranges upto 40 passengers.

3. Hotels & Airlines
india explore only as an agent for the hotels & airlines recommended to you for your tours. Our rates are based on the prevailing rates as negotiated by us with the hotels / airlines and includes all presently applicable taxes. The hotels /airlines retain the right to modify the rates or the terms and conditions any time at their discretion. india explore will make every effort in the case of such a revision to maintain its quoted tour prices, but cannot be held liable for changes beyond our control. All hotel prices are based on the meal plans as outlined in the final tour costs. The usual 'Check in' & Check out' time for the hotels is 12 Noon. All tour prices are based on the above times unless otherwise indicated in the tour terms and conditions.

4. Meals
india explore will provide the meals as stated in the program. india explore holds the right to alter / change the predetermined venue without prior notice.

5. Liabilities
The company is not carriers or keepers of inns, hotels, refreshment, boarding or lodging houses. The Company will arrange ticket bookings and reservations only as a Company for their clients who accept the same, subject to these terms and conditions and those of each of the concerned (hereinafter called the travel services) with whom the Company may make arrangements for their clients. The Company is not liable, howsoever the same may arise, for cancellation of journeys, deviations, delays or the failure to provide seats, berth facilities for carrying or sorting luggage of for the failure to provide accommodation.

The Company is not liable in the event of any alteration or change of any kind made by any of the travel services following the acceptance of any booking by them and clients are responsible for any increase in charges which the travel services may be entitled to require. The Company (both of themselves and on behalf of their servants and agents) do not accept any responsibility for any act, omission, default or neglect of themselves, their servants and agents or of the servants and agents of the travel services or injury, damage or loss to persons of goods whatsoever and howsoever the same may be caused, and they do not warrant and are in no way responsible for the accuracy of any information given or statements made by the servant and agents or those given or made by the travel services and agents.

For General Information please refer to our handbook which contains all information concerning visas, airport tax, currency, working hours, permits, distances, festivals, museums, etc. Otherwise you may contact the Regional Office of Government of India Tourist Office (GOITO).

6. Comprehensive Insurance Plan
It is suggested that a Comprehensive Insurance Plan should be taken prior to the tour including the following list of four:

(a)
Trip Cancellation and Interruption - this covers non-refundable trip payments up to the air and land trip cost for cancellation prior to departure or trip interruption after departure in the event of covered sickness, injury or death.
(b)
Medical Expenses Cover - this covers costs for physician, hospital, emergency evacuation or emergency dental treatment for sickness or injury, which occurs while you are on your trip.
(c)
Baggage Insurance - this covers purchase of clothing, etc., if baggage is delayed for 24 hours or more.
(d)
Trip Delay - this covers meal and lodging expenses if you are delayed by 12 hours or more. Certain exclusions and limitations apply. Coverage does not apply to or condition that existed during the 90 days prior to the effective date of the coverage, suicide, normal pregnancy, war or any act of war or mental or nervous disorders. Please refer to the description of coverage brochure for complete details of the plan, which will accompany your invoice.


7. Cancellation Policies
Our highly liberalised cancellation policies ensures no cancellation charges from our office (please read the cancellation chart carefully given in two parts, Part I & II), up till 24 hours (i.e one full working day, Monday till Friday), before your arrival in India. The letter of intimation from you should reach your port of arrival, depending on the package you have booked, (i.e. India, Nepal, Tibbet, Bhutan or Sri Lanka), in fax and must be acknowledged.

And within 24 hours or no show at airport, only the first night retention at the hotel and transport or US$ 50 per person, whichever is lower will be levied. But if there is postponement of dates then there is absolutely no extra charge. So now you can book with lot of confidence and has the freedom to decide as far as 24 hours of your arrival without fearing to loose your money.

Our policies are equally pro-customer even when you are travelling with us. So there is nothing to worry, even if any tour programme has to be called off due to any reason. But you are requested to kindly consult the dealing local office on it for a clear picture.

Part I  
Uptill 24 hrs notice NO CANCLLATION CHARGES
NO SHOW at the airport One day hotel and transport retention or USD 50, whichever is lower.
 
Part II
Also payable, irrespective of number of days…

1. All advance deposits placed with hotels and other suppliers to confirm the tour arrangements. This will be intimated at the time of booking.
2. All retention charges as levied by hotels or other suppliers, and governed by our mutual contract with them.
 

Note ;
We would like to inform that, generally we have negotiated special rates with hotels and other suppliers, for our clients and to guarantee our reservations with them the exchange vouchers (30 days prior to the arrival) are sent to their offices. It is also that stipulated time frame to confirm the reservations, which also makes us liable for retention charges in case of any cancellation later. The cancellation generally amounts to one night stay at each hotel.

Cancellation charges over air & train tickets will be as per the policies of the airlines and railways.
